FAQ

Common questions. Straight answers.

The five questions that come up on every discovery call, answered before you book one. If you have a different question, the email and phone number at the bottom of this page are real.

1. What if my data is a complete mess?

That's the normal starting point. Most clients hand us a mix of CRM exports, random spreadsheets, scanned files, and handwritten notes. We've built six-figure pipelines out of notebooks. AJV Contracting's $250K engagement started with eight years of handwritten records that everyone assumed were junk.

Your job is to send what you have. Our job is to turn it into something usable. The messier it is, the more opportunity is usually hiding in it, because nobody else has bothered to work it.

2. How is this different from cold calling old leads?

Cold-calling a list of names is a 1% activity. Reactivation is targeted. We score each contact for likely intent based on their actual history with you, project type, last touch, lifecycle stage, and any context we can extract from the data. Then we send personalized messages that reference their specific past inquiry, not a generic blast.

The reply rate difference is usually 5 to 10x. Cold calling burns through a list once. Reactivation rebuilds a relationship someone already had with you.

3. What does the $750 audit actually include?

The audit is a working pilot on a 100-contact sample of your dormant data. Not a paper analysis. Real work, on real records, with real outreach going to real contacts. Specifically:

  • Cleanup, enrichment, and lead-scoring on the 100-contact sample
  • A personalized outreach campaign run on the highest-probability contacts in that sample
  • Real metrics from your own list: deliverability, reply rates, and booked calls
  • The cleaned 100-contact database delivered to you regardless of what happens next
  • A sprint scope and revenue projection based on what we actually saw in your data

The $750 fee is flat. If you decide to scale into a full engagement, it's credited toward that engagement. If you don't, you still walk away with the cleaned sample and the data we surfaced.

4. What if it doesn't work?

The audit exists specifically to answer that question before you commit to a larger engagement. You see actual deliverability, actual reply rates, and actual booked calls from your own data on the 100-contact pilot. If the numbers don't justify scaling up, we say so. You walk away with the cleaned sample and you're out $750, not $20K.

For the full sprint, there's no money-back guarantee, but the structure protects you: the cleaned, enriched, lead-scored database is delivered as a milestone deliverable in week 1-2. That's value you keep regardless of how outreach performs. If reply rates come in below projection, we look at what's not landing and adjust scope and approach in real time. The engagement is built to surface problems early, not hide them at the end.

The bigger picture: we don't have retainers, contracts, or auto-renewals. If we don't deliver on this engagement, you don't come back. That's the only accountability mechanism that matters.

5. What does a full 60-Day Sprint cost?

Custom-quoted after the audit, so the scope and price match the actual opportunity. Typical sprint scope: up to 5,000 contacts cleaned and enriched, lead scoring, personalized outreach, 60 days of active reply management, and the cleaned database returned to you. No retainers. No surprise fees. The $750 audit fee is credited toward the sprint.

For larger engagements (15,000+ contacts), we phase the work: data foundation first, then active reactivation. You get a milestone deliverable before committing to the full scope.

6. What happens to my customer data?

You keep everything. Mutual NDA is signed before we touch a single record. The cleaned, enriched, structured database is delivered to you in whatever format you want (CSV, ServiceTitan-ready, Housecall Pro, Jobber, HubSpot, raw spreadsheet). Your data is never used for another engagement, never sold, never used to train a model.

If we don't earn the next engagement, you walk away with the cleaned database, the lead scoring, and the campaign learnings. All of it is yours forever.

7. Is the outreach AI-generated? Will it sound like a robot?

AI helps us draft at scale. Humans review every send. A real US-based operator handles every reply. No autoresponders, no chatbots running campaigns, no offshore call center reading scripts.

What that means in practice: when one of your past customers writes back, it's Mason or a small US team responding, not a bot. The voice is consistent with what your customer would expect from you, not jarring AI-speak. We won't fully automate your voice because that's the fastest way to burn a relationship that's still warm.

8. What if I don't think I have enough old leads?

Most operators underestimate by a wide margin. A 10-year-old company usually has 1,500 to 4,000 unconverted leads and past customers spread across estimates, service tickets, trade-show contacts, and CRM exports they forgot about. The audit will tell you exactly what's there. If you don't have at least 500 contacts after we look together, we'll say so up front.

9. Is this TCPA / CAN-SPAM compliant?

Yes. We work past customers and contacts who have prior business relationships with you, not bought lists. Outreach respects opt-out, includes proper unsubscribe handling, and stays compliant with current email and SMS regulations. We will not put your business at risk to chase replies.

10. How long does a campaign actually take?

2 to 3 weeks from data handoff to outreach going live. Warm replies usually start hitting your inbox in week 3. Total engagement runs 60 days of active outreach. Larger or messier datasets push the front end out a few days.

11. Do I need a sales team or CRM admin to make this work?

No. Most of our clients are owner-operators with a small office team. We do the data work and the outreach. You just need someone (usually you, an estimator, or a service manager) to follow up when warm replies come back. If your team is already maxed out, we can route replies straight to whoever takes the call.

12. What CRMs do you work with?

All of them. ServiceTitan, Housecall Pro, Jobber, FieldEdge, Service Fusion, Buildertrend, Procore, HubSpot, Salesforce, Zoho, plus raw spreadsheets and scanned paper files. We export, clean, and re-import in whatever format your CRM accepts so the cleaned data ends up back where your team actually works.
